Thank you for your interest to vend at PlayThink. Our goal is to offer a variety of local foods and eco-friendly wares that support our vision of conscious community and our planet. We hope to create a sustainable marketplace, incorporating our vendors into the art, music and energy of the space!

.Fees • Merchandise Vendor Booth – $300 for a 10’x10’; $400 for a 10'x20' • Roaming Vendor pass – $75, in addition to ticket purchase. • Food Vendor Booth – $550. •Information Table – $200 • Each merchandise vendor space receives two (2) event passes. Food vendors receive six (6) event passes. Info Tables receive one (1) event pass. • Any additional passes needed, beyond this amount, must be paid in full at the event’s face value ticket price. • Vendor fees are due by April 15, 2020, following notification of acceptance to PlayThink Marketplace. If you do not pay by this date, you automatically forfeit your spot.
Provided • Space for your own canopy tent. • Camping and Parking: Space is provided for camping, however there is only a 10 x 20 space behind your booth. You will only be able to fit one tent OR one car in this space. Please plan accordingly to fit everything behind your booth. If you can't completely fit, there will be other close options for tent camping or vehicles in day parking. • As an added value, your shop name & contact information is featured on our website, as well as shout outs on social media. (Must provide requested information on application to be eligible.)
Details • Vendors should plan to arrive no later than Wednesday, June 12, by 10 AM. Booth set up must be complete no later than 2 PM the same day. • Vendors must provide valid insurance & licensing information. • Vendors are assigned an area by the Vending Coordinator. • Vendors may only sell in the marketplace area unless a roaming vendor pass is in hand. • PlayThink is a LEAVE NO TRACE event. What you bring in, you are required to take out. Our focus is to have the smallest eco-footprint possible. • Vendors are welcome to attend workshops & festival events. Yet, we ask you remain open during prime times of the day (9 AM – 9 PM) and that your booth be attended at all times, including Sunday until 2 PM. PlayThink, and all gathering staff or volunteers are not responsible for lost, stolen, damaged, or misplaced items. • PlayThink is a pet free event. DO NOT bring your dog. • PlayThink requires tickets for all attendees over the age of 5. Please purchase tickets for your children if they are attending with you. • PlayThink is a sober event. ANYONE obviously inebriated at any time can be asked to leave without a refund.
Check in: All vendors must check in on Wednesday June 17th , between 8:00 am and 2:00 pm. All vendors MUST be checked in by 2:00 PM on Wednesday. If you have any questions please contact our vendor coordinator, Tiffany Raintree, at 859-771-1972.
Set Up: All vendors spaces must be set up and ready to vend by 4:00 pm on Wednesday, June 17. Vendors will not be admitted after 2:00 pm Wednesday. Arriving late will result in forfeiting your vending opportunity without refund. No exceptions.
Booth: Please bring your own booth and set up materials, including extension cords, tables and chairs, etc.
Camping: You may stay in a hotel or camp at the festival. Vendors will have a specified camping spot near the vending zone if desired.
Strike: Vendors must plan on being wrapped and off site by Monday, June 22 at 12:00 noon.
Security: We will provide security for the festival; however, we cannot be held responsible for your booth and goods. Please be secure at all times, especially if you are away from your booth.
Sound Systems: You may not bring in sound systems. Please do not play music at your booth.
Power: Electricity is limited. 110V power will be provided for vendors that purchased an electric upgrade.
Booth Supplies: Please bring all necessary supplies for your booth; power strips, 50 – 100 feet of extension cords etc.
Vehicles: Vehicles will only be allowed on site Wednesday June 12th from 8:00 am -3:00 PM If you plan on driving in and out of the event, you will be unable to park your vehicle next to your booth. Make plans accordingly. You will need to park in Day Parking.
Disposal of Waste:Vendors must use a personal receptacle to store waste, including grease. Vendors are responsible for the disposal of grease. Disposal of grease on the event property is strictly prohibited. It is mandatory that a tar mat be placed underneath food preparation equipment. All food vendors are required to maintain the cleanliness of their booth spaces. Booth spaces will be inspected after break-down has been completed.
PlayThink Festival Name and Logo: Any material containing the copyrighted PlayThink Festival, names and logos are strictly prohibited for use or sale by vendors.
Beverages (alcoholic): PlayThink Festival hereby reserves the right to refuse any and all types of alcoholic beverage sales at PlayThink. Vendors are strictly prohibited from selling or distributing any type of alcoholic beverage at this event.
Amenities:The use of certain generators is permitted with PlayThink Festival committee approval. All power cords must be properly secured.
Items to Be Sold: One exhibitor/vendor is allowed per booth space. Display of items is limited to those named on the application. Upon signing this contract, vendors must write a list of all the food items to be sold and adhere to items listed.
Sales Tax: Transactions, including collection of Kentucky Sales Tax, are the sole responsibility of the vendor. Counterfeit Merchandise:The sale of counterfeit merchandise is strictly prohibited.
Liability: Vendor participates in the event at his/her own risk. Vendor must provide a copy of his/her food permit and insurance policy to PlayThink vendor relations. As additionally insured, upon signing this contract. In case of inclement weather or other Acts of God, vendor agrees to accept full responsibility for profits or loss or any missing, stolen items or damage to person or personal property. Application Deadline: The deadline for submission of vendor application is January 1, 2020
Cancellation: Written notification of cancellation of participation in the event with evidence of extreme conditions such as death or hospitalization must be submitted to the promoters no later than June 1st, 2020 for a partial refund of 50%.
Damages: If damage to public property/venue is incurred by vendor or representative participating in the event, he/she will be held liable for there pair or replacement of the damaged property. This applies to, but is not limited to, such items and areas as exterior fencing structures, trash cans, landscaping, tents and any other facilities or equipment.
Strict Enforcement: A monitoring committee continually enforces during the event the rules of PlayThink as set forth in this agreement. Violation of the rules will result in immediate ejection from the event with no refund (no exceptions). Violation of the outlined rules will also result in the exclusion from future PlayThink events.
